Getting started

How do I start my first visit?

From Home, tap Start a visit now to capture immediately on site. Use Prepare a visit to add a poster or details first. The cockpit opens immediately and timing starts. Title, venue and city can be completed during or after the visit.

What are the five tabs for?

Home — create or resume a visit or route, and open the Notebook, Focus, and Help. Notebook — find every exhibition, sort the list, and apply filters. Report — view annual rankings, timeline, ratings, categories, cities, keywords, and collections. Search — combine text, artist, venue, institution, category, city, tags, and impressions; export the selection as CSV. More — open Collections and Settings, including preferences, backups, and imports.

Create a visit

Must I identify the venue before starting?

For an immediate start, the details can remain empty. Add title, venue and city later with Complete the visit details; Prepare a visit remains available for advance identification. Identification can combine the poster, local OCR, GPS and, only if you enable it, online search. Suggestions remain subject to review and no completed field is overwritten automatically.

How do I finish and find a visit?

Finish the visit, complete the report and notes, then export the sheet as a PDF if needed. The visit detail gathers collected items. When the visit is in progress, some blocks allow you to continue adding items. Notebook — find every exhibition, sort the list, and apply filters.

Add an artwork

How do I add an artwork with or without a photo?

In Visit in progress, use Artwork photo to photograph a work. A long press opens import options or Add without photo. The latter opens a record to fill in manually; it does not create an image. Check the information and save the record.

Where do I find my artwork images?

The Works Seen wall gathers photographs or films of the artworks. On full screen, touch a thumbnail to enlarge it or watch a video. Images imported as artworks appear on this wall.

Labels

How do I link a label to an artwork?

An artwork label belongs to the Artwork photo workflow. After the artwork photo, follow the label prompt when offered, or add/import its photo in the artwork record. Check that both images belong to the same work and correct recognized text. Room text documents a space; it is not an artwork-label button.

What if recognized text is wrong?

Photograph or import a label to propose a caption. Recognized text must always be validated or corrected. Correct the suggested information before validation.

Audio and notes

How do I add a written note?

In Visit in progress, tap Note, enter your observation and confirm. Find it in the visit record. A visit note and an artwork observation are separate content types: use the artwork record for a comment that should remain linked to that work.

How do I record an audio impression?

Audio recordings allow for a quick oral record of the visit. They remain linked to the visit. Recording requires microphone authorization. Ambient sounds and the sonic signature are available when these options are enabled in Settings.

PDF export

How do I export the PDF sheet?

Open a visit in Notebook, then Share and Export PDF. Choose a destination in the system sheet and review the document. A PDF is not a complete backup and may not include every medium or note. Documentary ZIP is a separate export; use the complete backup in More › Settings to transfer the notebook. The website PDF preview is illustrative, not an export of your visit.

Data

How do I back up or transfer my notebook?

In More › Settings, export a complete archive to back up or transfer the notebook. Import can merge data or replace the notebook after confirmation. Before a replacement import or uninstall, keep a copy of the complete backup outside the app. Do not confuse it with a PDF or documentary ZIP; check the saved file before replacing data.

What works offline?

Content is stored locally. Browsing the notebook and local capture do not require web search. Online sources and exhibition searches need a connection. Recognition or transcription also depends on device capabilities and permissions; automatic suggestions are not guaranteed.

Troubleshooting

Camera or microphone not working: what should I check?

Check P-Expo permissions in iOS settings: camera for shooting, microphone for audio, and photo access for import when requested. Labels vary by iOS version. Return to the relevant action. Manual entry remains an alternative if permission is denied. Do not start by uninstalling the app: back up your notebook first.

How do I report a problem without sharing private data?

Write to contact@paroptik.eu with your iPhone model, iOS version, P-Expo version/build, steps taken and expected result. If useful, attach a screenshot with private names, locations and content hidden. Never send passwords or your complete archive by default. Response time is not guaranteed.
